They asked you for a Ukrainian document
People rarely arrive here thinking "I have a Ukrainian-document problem". They arrive thinking "the school wants a paper I do not have" or "they will not accept my diploma".
It is the same problem. This page translates one into the other: find your situation and see which Ukrainian document is actually meant, where it comes from, and what usually goes wrong.
The requirement of the office asking always governs
We describe the UKRAINIAN document — what it is, where it comes from, what it should look like. We deliberately do not describe the foreign procedure that demanded it: that differs by country, often by city, and it changes. The last word always belongs to the office that will accept the document. Ask them which document, in what form, and with what translation.
A school or nursery is asking for the child’s birth certificate
What they actually mean
The Ukrainian birth certificate — usually apostilled and translated by a sworn translator into the local language.
What trips people up
What usually stops it is not the document but the SPELLING of the name: if the certificate and the passport disagree, the bundle can be refused. Check before you file, not on the day.

An employer or authority will not accept your Ukrainian diploma
What they actually mean
The diploma and its supplement, apostilled by the MINISTRY OF EDUCATION — not the Ministry of Justice; different documents go to different authorities.
What trips people up
Recognition and apostille are not the same thing. An apostille only certifies that the document is genuine; recognising the qualification is a separate body in your host country, different in each.

A family reunification application wants proof of the relationship
What they actually mean
Birth and marriage certificates — and very often divorce certificates from ALL previous marriages, on both sides.
What trips people up
The bundle falls apart on what nobody named out loud: a previous divorce, a name change, a death certificate for a previous spouse. Build the list for YOUR case in advance.

A benefits office is asking about your income or pension in Ukraine
What they actually mean
A Pension Fund statement of what is paid, or an income certificate — depending on what is actually being asked.
What trips people up
Only your own local Pension Fund office can answer for your case, and in writing. A general description is not evidence.

You are asked to prove you are not currently married
What they actually mean
An extract from the civil-status register — plus the divorce certificate if there was a marriage.
What trips people up
An EXTRACT and a REPLACEMENT CERTIFICATE are different documents. Ask whoever wants it which one they mean; the wrong one means another trip and another apostille.
Next
A notary or court abroad is asking about property or family in Ukraine
What they actually mean
An extract from the property register, birth and marriage certificates to prove the relationship, sometimes an archival certificate.
What trips people up
Rights registered before 2013 may be missing from the electronic register and exist only in the old BTI papers. The extract then comes back empty — which does not mean there is no property.

You are proving Ukrainian origin — your own or a child’s
What they actually mean
A chain from the ancestor to you: their birth record showing the PLACE, then birth and marriage certificates at every link.
What trips people up
The paperwork decides these cases, not the legal test. Records older than the register live in the regional archives rather than the civil registry — and that stage takes longer than the application itself.
Next
You are asked for a Ukrainian criminal-record certificate
What they actually mean
The criminal-record certificate — its apostille is placed by the Ministry of Internal Affairs, not Justice and not Education.
What trips people up
These certificates have a short shelf life in the eyes of the office asking for them. Ordering too early means ordering twice.
